How Booking Works
How a Rwenzori trek goes from a first message to a confirmed booking.
1. Tell us what you have in mind
Send your dates, group size and the trek you are considering — or just tell us how many days you have and let us suggest one. Use the enquiry form or WhatsApp; both reach the same people.
2. We reply personally
Not an automated quote. You get a suggested route with our reasoning, a full price breakdown with park fees on their own line, and an honest answer if we think a different trek suits you better than the one you asked about.
3. You ask the awkward questions
Crew ratios, what happens if someone has to descend early, what is genuinely included, how fit you need to be. Ask them now rather than later. We would rather lose a booking at this stage than have you arrive expecting a different trip.
4. Deposit confirms your dates
A deposit secures your departure and, where relevant, starts the permit process. We state the amount, the balance due date and the payment methods in writing before you pay anything.
5. We arrange the rest
Park permits, trailhead transfers, accommodation either side, and your mountain crew. Your confirmation lists exactly what we are handling and what remains yours — flights, visa and insurance are normally yours.
6. Before you travel
A pre-trek briefing covering kit, conditions on your dates, altitude, and the turnaround rules your guide will be working to. You are told who is leading your trek before you arrive.
Changing or cancelling
Date changes are usually possible subject to permits and crew availability. Cancellation terms are tied to how much notice you give and are set out in full in your booking confirmation — before you pay, not after. If we cancel, you get a full refund or a rebooking.
Booking lead times
Rwenzori park access needs no advance permit, so shorter treks can often be arranged at modest notice. Anything involving gorilla permits is different — those are limited daily and sell out, so raise them as early as you can.
